Data export and switching
This page provides current information about exporting data and switching from Talentpilot. Your agreement and mandatory law govern your rights; updates to this page do not amend them. The switching timetable applies where the EU Data Act’s switching requirements apply. Other cancellation and personal-data rights remain unaffected.
1. Request and timetable
Email hello@talentpilot.com, or the notice address in your agreement, identifying your account, affected Services and requested action. You may switch to another provider, move data to your own infrastructure, request erasure, or combine these actions. Destination details and final instructions may be supplied by the end of the notice period without restarting it.

During transition, we continue the contracted Services, maintain applicable security protections and provide reasonable assistance to you and your authorised migration provider. Affected Services end on successful switching; under this procedure, erasure-only Services end when the notice period expires. We notify you of termination and the retrieval deadline.
2. Exportable information
Exports cover the following data held for your account, to the extent it is exportable under the applicable agreement and law.

3. Delivery and interoperability
Exports are provided by secure download or another agreed secure transfer method. We provide the open interfaces and documentation required by applicable law without charge.
You and your destination provider handle importing and configuring the destination unless otherwise agreed or required by law. Bespoke formats or destination integrations outside our contractual and legal duties require separate agreement.
4. Restrictions
Source code, model weights, generic system prompts, proprietary orchestration and internal security configurations are excluded only to the extent they concern internal service functioning and disclosure would risk our trade secrets. These exclusions do not cover customer materials, Outputs or exportable customer-specific settings and metadata, and must not impede or delay switching.
Exporting data does not recreate Talentpilot’s software or guarantee the same functionality in another service.
5. Fees
Required exports, switching assistance and retrieval-only access are free. Ordinary service fees remain payable for Services provided, subject to applicable termination and refund rights. Optional additional work requires separately agreed fees.
Voluntary switching does not automatically entitle you to a refund. Any early-termination charge, including retained prepayments for unused periods, must be lawful, proportionate, expressly agreed and disclosed before contracting, without duplicate recovery. Express refund rights and mandatory switching rights remain protected.
6. Deletion
Subject to outstanding return or switching obligations, active-system deletion takes place within 30 calendar days after the retrieval period. Residual backups are deleted within a further 90 calendar days after active-system deletion and remain protected and isolated from ordinary use until then.
Earlier deletion instructions, legally required retention and shorter periods under applicable law or an agreed DPA are handled under your agreement. We confirm deletion status on request, including any remaining copies and their deletion timetable.

8. International governmental access
We use access controls, encryption, supplier safeguards and a process for reviewing authority requests to protect customer data. For requests involving non-personal data held in the EU, we assess the legal basis and conflicts with EU or applicable national law, seek appropriate review where required, limit disclosure to what is legally permitted and provide customer information as required by law.
